What Retailers Should Check When Sourcing Confectionery

Assorted colourful confectionery

A confectionery range can include single bars, sharing bags, boxed chocolates and other formats with very different display needs. A good sourcing brief explains which items you want, how you intend to sell them and what information you need before evaluating a proposal.

Build a focused product list

Start with the product formats that suit your own customers and available space. Separate a routine replenishment enquiry from a trial of new products, and identify which lines are essential and which are optional.

Use exact product names and weights. If a title contains both unit and case information, clarify the quantity basis instead of assuming every number refers to the same level of packaging.

Review the actual label information

Check the ingredients and allergen information for the exact variant and pack under discussion. A product family name does not establish that every size or flavour has identical information. Ask for current details where the catalogue image is not sufficient.

The European Commission’s food information guidance is a useful starting point for understanding label requirements. Product information still needs to be checked for the intended market and the particular item.

Match quantities to your selling plan

Consider the period over which you expect to sell each line, not just the total quantity you can store. Explain your remaining shelf-life requirement at receipt and ask how the relevant stock information will be confirmed.

For displays or seasonal promotions, distinguish the product quantity from any separate display materials you may need. Do not infer that a branded outer carton is a retail-ready display unless that format has been confirmed.

Clarify handling and alternatives

Ask for the manufacturer’s storage instructions and consider how the products will be handled at your own premises. If your receiving arrangements impose restrictions, include those details early in the enquiry.

List acceptable alternatives separately from your preferred items. When a different weight, flavour or format is suggested, review the revised information before adding it to your range. A clear record helps keep the original request and any later changes easy to follow.
