How to Prepare an FMCG Food Supplier Enquiry

Packaged food in a grocery store

A useful FMCG enquiry gives the recipient enough detail to identify the products and understand your business requirement. You do not need an elaborate document: a clear product list, a quantity basis and a delivery destination are a practical starting point.

Put one product on each line

Include the brand, product name, size and variant where these details are known. Add a barcode or a link to the catalogue listing if it helps distinguish the item. Keep products with different pack formats on separate lines.

State whether the quantity refers to retail units, multipacks, cases or another agreed basis. Where you do not know the case configuration, ask for it to be confirmed and avoid presenting an estimate as a fixed requirement.

Explain the destination and timing

Provide the delivery location and the period in which you would like to receive the goods. If there are receiving hours or access restrictions, mention them with the initial request rather than leaving them until a proposal has been prepared.

Explain which timing requirements are essential and which are flexible. Availability and delivery arrangements need confirmation for the specific enquiry; a catalogue listing should not be read as a guarantee of stock or a delivery commitment.

Identify the information your business needs

Note any requirements concerning label information, remaining shelf life, documentation or the proposed pack format. Ask for the information relevant to the actual item rather than assuming it is unchanged from an earlier enquiry.

The European Commission’s mandatory food information overview provides background on food labelling. It does not replace reviewing the product information and requirements relevant to your own destination.

Keep changes easy to track

Give your enquiry a simple reference and use it when discussing revisions. If your quantities or preferred formats change, send an updated list that clearly distinguishes the new request from the previous version.

Before taking a proposal further, check that the reply covers each requested line and records any exclusions or alternatives. Retain the correspondence so that product details and commercial arrangements can be reviewed together.
