How to Check an FMCG Supplier Before You Enquire

Warehouse inventory inspection

A professional-looking catalogue can help you discover products, but it does not answer every question about the business behind it. Before sharing a detailed buying requirement, take time to check the supplier’s identity, the product information and the way commercial details are confirmed.

Identify the business you are speaking to

Look for a legal company name, a business address and a contact method that is consistent across the website and the written correspondence. Compare those details with the relevant official company register where appropriate. If different trading names are used, ask how they relate to the legal entity.

Keep a record of the contact person and the business details supplied. An unexplained change in company name, correspondence address or payment beneficiary is a reason to pause and ask for clarification before taking the enquiry further.

Check product identity independently

Ask for precise product names, sizes, pack configurations and barcodes when available. GS1’s Verified by GS1 service can help check the identity information associated with a barcode. That identity check is useful context, rather than a guarantee about a particular seller or shipment.

Treat missing or conflicting information as a question to resolve. A photograph should not substitute for confirmation of the item being offered, its label information or its current commercial specification.

Ask clear questions about the proposal

Request written confirmation of the product, quantity basis, availability, timing and delivery destination used in a quotation. If an alternative item is suggested, compare it with your original requirement before accepting it into your planning.

Discuss the documents your business needs and how the relevant stock information will be supplied. Avoid assuming that a broad claim such as “export ready” answers the specific requirements of your intended market.

Keep the review proportionate and documented

A new relationship may call for more checking than a familiar repeat enquiry. Decide which questions are essential for your business, record the answers and revisit details that have changed since the previous correspondence.

Be cautious about pressure to skip normal checks. A useful supplier conversation leaves room to clarify product details and commercial arrangements. No single logo, directory listing or barcode lookup replaces a complete assessment of the actual proposal.
